If the advertised role is based in London on an Agenda for Change Pay Band, it will attract a High Cost Area supplement. This supplement is not applicable to Executive or Senior Manager or Medical Leader positions. For positions offered on a part time basis, salary and any allowances will be adjusted pro rata.

Band 4 – Admin Support Officer - Secondment or Fixed Term Contract

The East Midlands Clinical Maternity Clinical Network is seeking to recruit an individual to provide administrative support to the Clinical Network on a full time basis until 31st March 2019.

The post holder will have previous administrative experience and the ability to work with people at all levels, together with good organisational and communication skills, both verbal and written. The post holder should have the ability to use their own initiative but also be team orientated and have a flexible approach to work, covering for colleagues where possible in their absence.

Your focus will be to provide administrative and secretarial services; including for example, the preparation of agendas and minutes, taking appropriate follow-up action as required, including minute taking. Supporting the team with the management of projects, gathering information and undertaking enquires as and when is necessary for the team.

Your principle role will be to provide a skilled and full range of secretarial duties, in support of the network programmes, including:

 Preparing documents, reports and materials in readiness for meetings. Arranging meetings, booking rooms and hospitality, compiling agendas; taking formal minutes and chasing actions;

 Planning and updating diaries, maintaining effective bring forward systems;

 Updating filing systems (paper and electronic)

 Ensuring all correspondence is accurately and appropriately presented, this includes proactive management of emails;

 Word processing – (typing) of general correspondence and reports;

 Using proficient internet skills to access, search and retrieve information;

 Handling queries and ensuring that relevant information is imparted and confidentiality is maintained;

 Setting up conference calls and webinars;

 Creating and designing presentations using PowerPoint

The post holder will need good time management skills, the ability to organise and prioritise work along with a reasonable understanding of the NHS England agenda.

The post will be based at either Fosse House, Grove Park, Leicester or Birch House, Ransom Wood Business Park, Southwell Road West, Mansfield NG21 0HJ, although there will be some travel involved to provide support service related meetings.
